			<content:encoded><![CDATA[<p>Bristol is an interesting city to visit because it has a rich history but much more besides. The Bristol of today is a mix of the old and the new. Extensively bombed in World War II, many of the old buildings were lost. Some of the surviving aspects of the old town are the narrow cobbled streets and some beautiful old architecture such as the Llandoger Trow and the Corn Exchange.</p>
<p>There are occasionaly some landmark <a title="properties for sale in Bristol" href="http://www.activbristol.com/property/">properties for sale in Bristol</a> and when the Llandoger Trow came up for sale, Whitbread snapped it up. The Llandoger Trow was built in 1664 and is one of the last timber-built buildings in Bristol. Rumour has it that Daniel Defoe met Alexander Selkirk (the inspiration for Robinson Crusoe) there, and there are tales of pirates, ghosts and secret tunnels too.Relax and have a few drinks in this famous pub.</p>
<p>The clock over the Corn Exchange (a grade I listed building) is interesting because it has two minute hands. The black minute hand shows Greenwich Mean Time and the red minute hand shows Bristol time. The exchange was finished in 1743 and the clock was installed, at that time with only one minute hand, in 1822. The second minute hand was added later to show the time in London as well as the local time in Bristol. The arrival of the railways was the reason for the extra minute hand. The railways required a standardised time across the country for timetabling and on 22nd September 1847, the Railway Clearing House recommended that every railway company in Britain adopt Greenwich Mean Time at their stations, as soon as possible.This standard time became known as &#8216;railway time&#8217;, which Bristol officially adopted on 14 September 1852. Bristol is 2&ordm; 35&#8242; west of Greenwich, which makes the black hand just over 10 minutes ahead of the red.</p>
<p>Bristol has plenty of religious buildings of architectural note. Bristol Cathedral is one of the UK&#8217;s finest hall churches and a prime example of late Norman architecture. It was built as an Augustinian abbey in the 12th century and converted in 1542 into the Cathedral Church of the Holy and Undivided Trinity. St John the Baptist&#8217;s Church is the only surviving church out of five built on the 12th century Saxon walls of Bristol&#8217;s old town. The church would have acted as part of the city&#8217;s defences as well as a place to offer prayers. Also worth visiting is the parish church of St Mary Redcliffe where you can admire the gothic arches and beautiful stained glass windows.</p>
<p>If castles and stately homes are your thing, don&#8217;t miss Berkeley Castle which has over 900 years of history. 24 generations of Berkeley&#8217;s have influenced the character of the stately home that now contains the bedspread of Queen Elizabeth I and Sir Francis Drake&#8217;s cabin chest. </p>
<p>If you visit Bristol at the right time of the year you will see the spectacular that is the Balloon Festival. Bristolians love to see the hot air balloons and there are many beautiful balloons gathered for the fiesta from all over the world. The fiesta started in 1979 and now boasts around 150 balloons and half a million visitors. If you miss it, you can still get in on some of the action by taking a hot air balloon flight over the city between April and October, weather permitting. The fiesta will be held between 12th and 15th August this year.</p>
<p>Bristol is a fantastic city, the delights of which I have only touched on. The docks have been refurbished since the days of urban decay, the streets are packed with cutting-edge restaurants and designer bars, the museums are world class and the nightlife and artistic talent are up there with the best.</p>

For instance our business in web design has increased recently because in an effort to reduce costs companies are turning to the internet to improve sales without incurring huge overheads. So companies like ours suddenly are in greater demand. However for the majority of the population it is a question of surviving and getting through it. If your business is on a sound financial footing and you have money behind you then this will be beneficial in the coming years. You may even be able to reduce employee salaries for a period of time, rather than have redundancies or even closing down, but whatever strategy you apply it will need to be with the agreement of the workforce because a company is dependent of the good will of its employees at such a time. During the early stages of the crisis the British company JCB, which makes big machinery like bull dozers and diggers, chose with the agreement of the workforce, to reduce everyone&#8217;s salary for 6 months rather than lay off people or go out of business.</p>
<p><strong>Cash flow</strong></p>
<p>Most businesses go to the wall because of problems with cash flow. If there is not enough money coming it to pay for goods and services then it will not be long before a company goes into bankruptcy. Constant monitoring of the financial position is crucial. It is so easy to spend and not realise how much is leaking out and where it is all going. Keeping a tight control on costs is always a vital activity because that is what makes or breaks a company. Since listening to that tape, I have made a point of keeping expenses to a minimum at home and at work and every little sum of money coming in I see as a positive step to achieving wealth. </p>

It&#8217;s amazing how you can manage without something for a period of time by using up existing or old stocks and making sure that waste is reduced to an absolute minimum. </p>

<p>When you do have to purchase goods to run the business, make sure you look out for bargains or negotiate for a better deal than you may have achieved previously. When times are tough, sales with no profits are better than nothing and there are some good deals to be had. One company I recently heard about sold a house for half the price when a customer came along with a cash offer. So in many ways the current economic climate could be seen as a good thing because it forces businesses to review their outgoings and get rid of the dead wood. In any business, the higher the outgoings, the smaller the profits. When there is an economic downturn or some loss of business unless you have unlimited capital set aside, it is essencial to reduce spending otherwise the business will not survive. Most really successful businesses understand the value of controlling outgoings and constantly review costs, even when times are good. I always remember my mother and grandmother saying of someone who was well off, that they were rich because they never spent their money, they hung onto it.</p>
<p><strong>Tighten your Belt &#8211; No need for Extravagent Spending</strong></p>
<p>Although looking at reducing large overheads is one way to improve the viability of your company, another is to pay attention to the small amounts going out. It is so easy to think &lsquo;Oh it&#8217;s only a few pounds&#8217; but small amounts add up and can so easily get out of control. Remember that old saying &lsquo;take care of the pennies and the pounds will take care of themselves&#8217; I think it is so true. So cut out unnecessary spending, no perks on the business such as lunches or dinners to woo customers. They rarely actually need it if your business is offering honest value for money and top class services, and in most cases customers and prospects will appreciate you being prudent if it means you stay in business and continue as their valued suppliers. Bosses can lead the way by paying themselves less or taking a pay cut showing that they are willing to tighten their own belts.</p>
<p>Recently it was announced that Bruce Forsythe was taking a cut in salary for his position as the host of Strictly Come Dancing, one of the most popular programmes on TV at the moment. He believed that they were being overpaid and put his money where his mouth was. </p>
<p>Another major area of expense is salaries and the costs that go with them. If you employ a large number of people the overhead expenses are huge. However there is always a natural wastage where people leave or retire so without actively having to make people redundant there may be opportunities to reduce the wages bill when times are hard. Efficiency and effectiveness of the people working in the company is critical and communicating with the workforce as to how they can reduce wastage and be more effective can be a rewarding policy.</p>
<p>One example from my previous work in organisations was when running a supervisors workshop. One of the delegates was complaining that when he needed to order supplies he had to sent the request up the line and wait until the senior manager had given the go ahead. As he was responsible for keeping supplies stocked and felt very frustrated at the time it took for him to get the approval he needed. I was shocked to hear that he was being so hampered in doing his job properly. So when I asked the question. &lsquo;What&#8217;s to stop you ordering the goods yourself?&#8217; after a long think, he said it had always been done that way. Nobody had questioned the procedure and whether it was still necessary to follow it. The outcome was that the he was given the go ahead to do the ordering himself and the senior manager was freed from one task he could happily do without.</p>
<p><strong>Do Your Customers have Financial Liquidity?</strong></p>
<p>If one of your customers is a very large company and they are source of the majority of your revenue then you are in a high risk position. It is a good idea to ensure that you have more than one high volume customer as well as lots of smaller ones so that you will be covered if one suddenly defaults on payment.</p>
<p>Find out the financial stability of your best customers. When the income of a customer falls then their ability to purchase goods and services is affected. If they are able to pay, then you will be able to pay your suppliers. There is nothing worse than doing a lot of work or selling a lot of stock to customer and then not getting paid. Situations like this can often cost you money, and that is the road to financial ruin, so be sure to be aware of your client&#8217;s economic situation as best as possible. We use the free Dunn and Bradstreet financial tracking service to identify any negative changes registered against any of our major clients</p>
<p>A customer of ours who are a team of town <a title="Planning Consultants" href="http://heatonplanning.co.uk/services/commercial_industrial_development.php">planning consultants</a> were lucky their business was very healthy with positive cash flow when a large customer went into liquidation owing about &pound;10,000. This was a lot of money to lose but their business was very healthy financially and they survived.</p>

When we protested the chief executive told his manager to find another suppler. There were a number of outstanding invoices worth thousands of pounds and we were powerless to do anything. Our overheads were compromised for that month but we were fortunate enough to have access to a reserve fund to tide us over. And yes we did get paid the whole amount over time.</p>
<p><strong>Don&#8217;t Borrow Money</strong></p>
<p>When the world is in a financial meltdown it is better not to borrow money if you can help it. If you have already borrowed significant sums of money then make sure you talk to your bank and get the best deal on repayments you can. If it&#8217;s possible to repay a chunk of money to reduce the interest you are paying out then do so. To me interest is money  going out for nothing in return and is not good money management.</p>
<p>Having said all that, the interest rate in America is just over 1% and recently rates have been radically reduced in the UK. But that in itself is what caused this whole financial mess in the first place. People borrow money cheaply then re-lend it at a higher rate of interest and take the difference in profit. Once the interest rate rises to a more normal level they will bail out and take their billions off to buy an island somewhere while everyone else pays the price. I know that is an over simplification of the problem, but it serves to demonstrate that the greed of a few has caused the distress of millions of the majority.</p>
<p>In my property rental business, a few years ago I had to let a house at a reduced rent but found a good long term tenant. This meant that the income was only just covering my costs but subsequently, because of the drop in interest rates, the mortgage repayments on the property have been reduced by &pound;150 a month. This means I have been able to realise a small profit and with that money I am reinvesting it in improvements to the house. Long term I see it as a good investment to maintain the standard and value of the property. So for some companies who have had to borrow money to stay afloat there is the benefit of lower interest rates to reduce the burden of repayments.</p>
<p><strong>You Only Have to Make it Through</strong></p>
<p>The world financial situation at the moment, I realise, is much more complicated than is indicated above. But the simple ways of dealing with crisis can often be the best option. Cut everything down to the bone and think about the days when people did not have such complicated lives. They managed their businesses without a <a title="Tax Advice" href="http://www.protaxconsult.com/taxconsultancy/701">tax advice</a> consultant , a water cooler, coffee machines and other such luxuries that we often take for granted. They made do by either doing extra work themselves or just going without. Obviously as your business grows, or recovers, it doesn&#8217;t become economically viable to sit and trawl through tax return forms or to have to do a lot of extra research and administration yourself, so you can restore those facilities that help to make you money once you have recovered your initial position.</p>
<p>Now I am not suggesting that we should go back to the good old days. What I am saying is that we might think we can&#8217;t manage without all our gimmicks such as mobile phones that take photos, but the reality is that we can do more with a great deal less, as long as we put ourselves into the right frame of mind and think positively about what we can achieve rather than what we haven&#8217;t got. Obviously as your business grows, or recovers, it doesn&#8217;t become economically viable to sit and trawl through tax return forms or to have to do a lot of extra research and administration yourself, so you can restore those facilities as and when you have recovered your financial equilibrium.</p>
<p>Think what the Victorians did with the limited resources they had at their disposal. The horse was the main mode of transport and they used the manure to heat cold- frames and managed to grow pineapples without any other form of heating. They did not have cars, computers, mobile phones or even phones. The railway was only just coming into being, and they did not even have electricity. But with their energy and ingenuity they conquered the world. The industrial revolution with their steam driven machines changed our economy for ever. In the past there was no such thing as designer and yet businesses survived|thrived.</p>
<p><strong>Stay in a Positive Frame of Mind </strong></p>
<p>By this I do not mean be in denial and pretend the world is not going through a tough time. But if you are continually thinking and worrying about the negative aspects of the financial situation, then you are likely to make it come true. Don&#8217;t forget you get what you wish for and by concentrating on something then it will work like a wish, so why not concentrate on ways of getting new customers, giving better value to your existing customers and how your company could offer new products or services to your existing customer base?</p>
<p>The challenge of any financial crisis is to find ways of increasing your customer base by offering inducements for purchasers to use your company rather than the competition&#8217;s services.</p>
<p><strong>Conclusion</strong></p>
<p>Although during this recession there is no doubt times are hard for people who have lost their work. No work, equals no money coming in, so how do people pay their bills and their mortgages? If consumers have been prudent during times of prosperity and they have a nest egg for a rainy day, then they can probably manage for a few months until they get another job. But if they are already up to their eyes in debt then they will face personal bankruptcy and could lose everything.</p>
<p>One economist had identified that in the past the higher the level of personal debt in an economy, the deeper the depression that followed. Prior to the current financial meltdown the level of personal debt was extremely high and the recession is a worldwide event.</p>
<p>In spite of all that, some people are managing quite well if they have jobs or some other type of income. One article I read recently said that the death rate reduced noticeably during recession and put that down to eating more economically at home and not eating so much junk food. So OK we can&#8217;t afford to go out for meals as much, and things are more costly, but home prepared food is often better for you and sharing meals with the family is a way of coming together and communicating. So it&#8217;s not all bad. Good luck for a prosperous future.</p>

			<content:encoded><![CDATA[<p>There are several types of conferences; the dictionary definition of conference says &#8220;A meeting for the exchange of views&#8221;.</p>
<p>My interpretation of conference, being a conference producer, is a place where people meet to confer and share knowledge. In the sharing theme I have decided to detail the elements required to ensure your conference goes smoothly. Whether you are getting a conference production company like mine to do it for you, or if you are going to manage it yourself, follow this outline and you can be assured that if you have made ample allowances for each of the items then your attendees (usually called delegates) will have a great day out. </p>
<p>There are many different types of conferences, one of the most popular types are seminars which are normally an academic style forum where people go to learn about a specific topic.</p>
<p>I mention Forum above because this is probably (at least to my knowledge) the oldest type of meeting or conference that I am aware of. My partner Sam will cringe at this, as when I discuss my work, I always have to get the Romans in somewhere! A lot of the passion in my work comes from Roman history.</p>
<p><strong>A Short History of Conferences </strong></p>
<p>The forum as many people are aware was the centre of power in Rome for many hundreds of years, a Roman general would return from a successful campaign and he would have been received at the forum and made a speech from the rostrum to the people of Rome.</p>
<p>So for thousands of years people have been having conferences around the world, the tools for doing the job have changed, but I can imagine and have indeed read about, the effort and organisation that went into preparing for one was the major component of its success.</p>
<p>Things haven&#8217;t changed much no matter how large or small a conference is, there are some rules that we must all follow.</p>
<p><strong>The Right Venue </strong></p>
<p>Once you have a reason to hold a conference and an audience to attend the next step is venue selection, this is crucial as you will need a room large enough for the numbers attending, without being too large. If you are going to have a conference set with rear projection then the throw distance has to be taken into account when you are looking at the room, (I will come onto throw distance later when thing get more technical) as this uses space too.</p>
<p>Once you have a main meeting room suitable for your delegate numbers, you then have to consider where they will have tea and coffee breaks for networking and if there is potential for setting up display stands for other products. </p>
<p>An essential component for a successful <a title="Conference Production" href="http://www.rostrum.eu">conference production</a> project is choosing the right location for your venue, for example. If you have many international visitors attending then you need to be near an airport.</p>
<p>Remember if you are going to do the job right you are also responsible for the delegate experience prior to arriving at the venue, you want them to have a pleasant journey and feel as relaxed as possible on arrival so venue location is very important.</p>
<p><strong>Conference Production</strong></p>
<p>Once a venue has been selected and it fits with all the criteria above, then it&#8217;s time to give your production company a call, they will normally recommend a site visit, so the room can be measured to check all of the conference production elements fit within the space proposed. </p>
<p>There are various different styles of the seating and this is an important consideration. There is theatre style seating where the delegates sit in rows next to each other. Then you have classroom style seating where delegates sit next to each other with a slim table in front similar to when you might take an exam. Then there is cabaret style seating which is where delegates are seated on round tables which are usually six feet across, with this style it is important that the delegates aren&#8217;t seated all the way around the table to ensure nobody has their back to the presenters or stage.</p>
<p>After your production company has completed the site visit they will propose the elements of staging you require to achieve your purpose. This will include stage and set, video projection, sound, lighting, crew levels to operate the show, and any pre-production requirements.</p>
<p><strong>Pre-production</strong></p>
<p>Not all conferences require pre-production, for example if your conference has PowerPoint slides you may want your production company to create them for you, a lot of companies now have the resources to do this in-house, but if that is the case they need to be of a professional standard.</p>
<p>You may want a video to be created, there are different types of messages you could utilise a video for, for example, a short opening sting, like an advert, to give an uplifting start to your show. Some of the best events start this way and it also helps to ensure you have got everyone&#8217;s attention!</p>
<p>Sometimes there may be presenters that can&#8217;t attend so you could have them videoed prior to the event and then played back during the conference at the allotted segment.</p>
<p>Not all presenters are comfortable with presenting, so a speaker coach may be a good idea, the coach will do as much or as little as is required. Usually they will come into your offices and asses the presenters, presentation techniques and will advise accordingly.</p>
<p>If you are not sure what your conference requires from these components, then employing a conference producer from one of the <a title="Event Management" href="http://www.advantaproductions.com">event management</a> companies may be the best thing to do as they will take care of everything for you.</p>
<p>However, if you decide to do it yourself, then below are some useful hints and tips to creating your own successful conference production.These tips are the culmination of over 25 years working as a conference producer.</p>
<p><strong>Set and Staging</strong></p>
<p>A conference set is usually a timber framed construction covered in a material of a colour that fits the client&#8217;s corporate colours, normally this would have an aperture in it for rear projection with a screen, the screen should be large enough for all of the audience to see the content on the screen without straining their eyes.There is nothing worse than being on the back row and not being able to see the screen, especially if it forms a major part of the presentation.</p>
<p>The base of the screen, known as the under panel, needs to be at least 1.2m (5ft) to ensure the audience has a clear view over the heads of the people sat in front of them.<br />This is where the ceiling height comes into play. For example if you had a screen height of 2.5m, a screen base of 1.2m and a screen header, above the screen, of 300mm the minimum ceiling height required is 4m.</p>
<p>There are many different styles of set you can use, many companies have a stock set option which is pre-built, when it is used it is recovered to suit the client&#8217;s corporate branding. Other styles of set include a bespoke set where you consult a designer who will take a brief from you regarding the theme of the event and come up with a purpose built set with various options. This is of course more expensive compared to the standard stock set options. Provided you use a competent production company a stock set will do the job fine, unless you need something really different.</p>
<p>Whether you decide on a stock or bespoke set it is advisable to have some scale floor plans created to ensure all the elements fit into the available space and most production companies will do this in-house. if you went for the bespoke option you would receive some 3D drawings so you can visualise what the set will look like in the space where it is going to be located.</p>
<p>Once the set has been decided upon then the stage will also need to be included in the plans. The most cost effective stage option for corporate events is a standard stage the width of the set, which is normally about 2.5m deep and 450mm high.</p>
<p>The size also depends on what you want to have on stage during the conference, for example if you are going to have just one lectern or two, or if there is a requirement for a top table or some comfortable chairs and a coffee table for a more relaxed question and answer session.</p>
<p><strong>Video Projection</strong></p>
<p>Video projection is required if you want to put an image on the screen behind the speaker. The image can be data or video playback or indeed both. At small conferences this may just be a data projector and a laptop, controlled from the lectern, either with the client pushing buttons or with the help of a remote mouse so a presenter can move around the stage area freely.</p>
<p>You can also use a stage monitor screen so the presenter can see the slide changes without having to turn and look at the screen, the presenter should never have their back to the audience. To enable this you will require what we call a VCA DA this piece of equipment splits the signal from the laptop to both the projector and the stage monitor screen. Generally this is a trade tool only of the AV industry so if you can&#8217;t find one ask your conference production company to provide it.</p>
<p>If the presenter is more akin to speaking than using a computer and doesn&#8217;t want to control their own slides then a cue light system can be used. This is a hand held controller that when pressed sends a signal to a light backstage and a technician then forwards the slides for the speaker.</p>
<p>If you want to play DVD&#8217;s you will require a DVD player with a preview monitor and a switcher. There are many different switchers you can use but it is recommended that if you&#8217;re going to play a lot of videos during your event then a good quality data switcher should be used. By using multiple DVD players each video can be queued up whilst another is playing and then the switcher changes the signal from one player to the other, this avoids the audience having to wait while the DVD&#8217;s are changed and makes for a very professional presentation.</p>
<p>So you&#8217;ve got your data projector, your cue light system, your stage monitor and your DVD playback.</p>
<p>How else might <a title="Corporate Events" href="http://www.advantaproductions.com/events">corporate events</a> teams enhance a conference with video production?</p>
<p>Recently I did an event which had a live camera feed. </p>
<p>The client wanted this for two different reasons firstly there was a presenter that didn&#8217;t have any PowerPoint slides except a name slide, so when he was presenting we had a live camera feed on the screen so the audience had a more up close and personal experience with the presentation. Then we utilised the live camera feed during the question and answer session for the same effect.</p>
<p>The second reason was that the client wanted to use some footage for the internet like a webcast, to be run after the live event. Certain elements of the conference were edited out and compressed for the internet so that delegates who were unable to attend could get a feeling of the content of the conference|, simply by watching it on their PC&#8217;s}.</p>
<p><strong>Sound System (Public Address PA)</strong></p>
<p>The sound system can range from a couple of speakers and one microphone in a small conference for say 50 delegates, or multiple speakers and microphones for up to thousands of delegates.</p>
<p>The basic sound system requirements are speakers, amplifiers, microphones and a mixing desk, to enable each microphone or set of speakers to be turned up and down as required.</p>
<p>The speakers are generally on stands, however if you are organising a large conference they may be able to be flown from truss above to give an even coverage in the centre of the room. As audiences get bigger then it gets a bit more complicated.</p>
<p>In the event that you do have a very large audience than a delay line is required, this ensures that the signal reaches all of the speakers in the various locations around the room, or venue, at the exact same time removing any echo there might be.</p>
<p>There are various different types of microphones, the most commonly used these days are the tie clip radio microphones which enables the presenter the freedom to walk around the stage cable free.</p>
<p>If the presenters are going to stay at the lectern then lectern microphones which are wired are more suitable, as with most thing wired, lectern microphones are generally more reliable as they don&#8217;t have a radio frequency to worry about and batteries that need charging up.</p>
<p>With regards the amplifier, most professional amps will run four speakers so if you need eight speakers for good coverage then two amplifiers will be needed. When the amount of speakers and amplifiers is specified, the next piece of equipment required is a mixing desk, generally people who are doing their own event don&#8217;t plan for this, but it can be the one piece of crucial equipment that makes the difference between an amateur and a professional event.</p>
<p>The mixing desk takes in all the signals that need to be heard through the speakers, such as the microphones, CD players and video playback. Once the equipment is plugged into the Mixing console, a feed is taken out of the desk and into the amplifiers, then from the amplifier to the speakers.</p>
<p>After this has been done the sound engineer then equalises the system which in layman&#8217;s terms means making it sound good in areas of the room. A well equalised sound system will have the feeling for the delegate, that the presenter is seated next to them not shouting from the front of the room.</p>
<p>All mixing consoles have a basic equaliser on the unit itself, however a professional conference producer will know it is advisable to get a separate graphic equaliser which has more options on it.</p>
<p>In a very large room it is recommend having what is called a multicore which as the name suggests is a cable with multiple cores inside it that carries the signals up and down the room from the control position from front of house to the control position backstage.</p>
<p><strong>Lighting</strong></p>
<p>Lighting is one of the most important visual elements of the conference. If you don&#8217;t have the luxury of a bespoke conference set then lighting can make all the difference.</p>
<p>There are several different types of lighting available, there is up-lighting normally provided by Par 64 floor cans, which you will recognise from seeing any professionally staged event. These can have coloured gel in them to add a set wash. There are also Fresnells which is a type of lamp which can hang from a truss or floor stand and again these can have a coloured gel in them to provide a set wash or coloured lighting effects. Profile lights are used to highlight elements of the set such as logos, steps or other details.</p>
<p>The most modern type of lamps on the market are LED lights. They are the most expensive type of lighting but they are worth it if you have the budget, the beauty of this type of lighting is that it can change colour at the press of a button|, which saves having to use gels to set the colour, and of course is a much more flexible for of lighting. I am sure you have seen LED lights being used all over the place these days, in torches, in mirrors, in cars, there are even some new cats eyes in the road that use LED lights.</p>
<p>Once the Lighting type and style is specified then it&#8217;s a good idea to get a lighting designer involved.</p>
<p>The designer will specify the type of lamp, where it should go, and what it&#8217;s going to do, if possible it&#8217;s best to hang lighting on a truss in front of the set, as opposed to using floor mounted stands. After the lighting has been decided on then it will need power, this usually comes from the venue supply via a dimmer rack to the lamps.  A mixing console then controls the different stage effects which the lighting designer programs in.</p>
<p><strong>Crew</strong></p>
<p>The crew is very important as they pull all the elements of the show together, professional conference production companies will know the value of a crew communication system which comprises of headphones and belt packs for each crew member allowing them to communicate with each other.</p>
<p>On larger shows we have a production manager and if required a conference producer, either one of these will show call, which means they will tell the crew what they should be doing and when they should be doing it. For example, when a video is due to be played they will let the video engineer, the sound engineer and the lighting engineers know in advance so they are ready when the caller say run VT.</p>
<p>When this happens the video will run, the audio will go up and the lights will come down.</p>
<p><strong>Transportation</strong></p>
<p>Again transportation is a crucial aspect of any event, or else how is everything you have ordered going to get there at the right time on the right day? The size of the vehicle is dependent on the size of the show, it can be anything from a transit size van up to an arctic with a 40ft trailer. It is the responsibility of the conference production company to decide on the type and size of transportation, but remember if you are booking a venue and it&#8217;s a large show that requires an arctic then make sure the vehicle can get into the loading bay! Fortunately it is not from my own experience that I have learnt this but from watching a competitor learn the it the hard way many years ago at an event I was working at!</p>
<p><strong>In Summary </strong></p>
<p>Organising a conference requires a lot of forward planning, the more you put in to it before the event the smoother it will run on the day.</p>
<p>Remember to look after your crew because they are the ones who enable it to all happen, look after your presenters because they are the ones it is happening for, and most importantly look after your delegates if you want it to happen to them again in the future.
